User Content (including images): When you upload photos or profile images, these are stored on our servers and may be processed by our hosting, CDN, or content-moderation providers under strict data-processing agreements. Such processing is solely for the purpose of delivering and moderating the service. We do not use your images for advertising or any other unrelated purpose without your consent.

We display testimonials/reviews from our users which include only their usernames (and photo(s) if uploaded) and the content of their feedback. No personally identifiable information (PII), such as email addresses or IP addresses, is disclosed in these testimonials. We may also log moderation actions and content-related notes linked to user accounts. These are only accessible to site administrators and used solely to enforce our community standards and safety.

We use vetted service providers acting under data-processing agreements to operate the service:
- Hosting & infrastructure: our web host/CDN/cache providers (storage, delivery, uptime).
- Email delivery/support: SMTP2GO and other email service providers used for account notifications, support communications, delivery monitoring, and email security.
- Payments: CCBill (payment processing, anti-fraud, chargebacks).

Where personal data is transferred outside the UK/EEA, we implement lawful safeguards including the UK International Data Transfer Addendum and/or EU Standard Contractual Clauses, and conduct transfer risk assessments where required.

5. Use of Your Personal Data
We will only process your personal data when the law permits us to do so. The most common circumstances include:

- To perform a contract with you.
- Where it is necessary for our legitimate interests, provided your interests and fundamental rights do not override those interests.
- To comply with a legal obligation.

We may use third-party email service providers, including SMTP2GO, to send account notifications, service-related emails, and occasional promotional communications.

To help us ensure successful delivery, diagnose technical issues, prevent abuse, and understand engagement with our communications, emails may contain tracking technologies such as tracking pixels and tracked links.

When you open an email or click a link within an email, information may be recorded including:

- Whether the email was opened.
- The date and time of the interaction.
- Whether links within the email were clicked.
- Your IP address.
- General device, browser, and email client information where available.

This information is processed by our email delivery provider on our behalf and is used solely for service administration, delivery monitoring, security, fraud prevention, and communication effectiveness.

We rely on our legitimate interests to process this information for service-related communications. Where email communications constitute marketing, we will rely on consent where required by law, and you may withdraw that consent at any time.

6. Marketing and Promotions
We may offer promotions, such as coupons and discounts, exclusively related to our site. We do not engage in any third-party marketing activities or share your personal data for marketing purposes.

All promotions are directly applicable to our services, and we ensure that any communications regarding these promotions are transparent and relevant to our users.

7. Data Security
We implement appropriate technical and organizational measures to protect your personal data from accidental loss, unauthorized access, alteration, or disclosure. Access to personal data is restricted to those employees, agents, contractors, and other third parties who need to know that information for processing purposes.

If we become aware of a personal-data breach likely to result in a risk to your rights and freedoms, we will notify you without undue delay and, where required, notify the ICO.

8. Data Retention
We retain your personal data only as long as necessary to fulfil the purposes for which it was collected, or as required to comply with legal, regulatory, tax, or accounting obligations. Basic customer information (such as name and contact details) may be kept for up to six years after you cease being a customer, in order to comply with applicable legal requirements.

Message content or other account data may be retained for a limited time if necessary to investigate possible violations of our Terms and Conditions, respond to law enforcement requests, or protect our legal interests. Once retention is no longer necessary for these purposes, all such data will be securely deleted or anonymized.

We will retain your account and profile data unless and until you choose to delete your account, except as required by law or stated otherwise in this policy. Dormant or inactive accounts will be treated the same as active accounts for retention purposes.

We retain user testimonials/reviews indefinitely to maintain a historical account of experiences shared on our platform. Users may request the removal of their testimonial at any time by contacting us. Upon such requests, we will take reasonable steps to remove the testimonial from public display.

Testimonials may also be featured in ClubCrossDressing promotional materials, including videos. If you later request removal, we will remove your testimonial from our website and future promotions, but we cannot guarantee removal from previously published or archived materials.

If your account is closed or deleted (either by you or by us due to violations), your profile and message data will be deleted according to our retention schedule. In cases where all your data has been deleted, we cannot provide copies of your messages or other content, as those records will no longer exist in our system.

Please note: If your account is deleted or banned for policy violations, some or all of your message content may no longer be available to you, especially if deletion involves removal or anonymization of account data. In accordance with data protection rules, we do not provide copies of messages or content that include other users’ personal data, to respect their rights and privacy.

When your account is deleted (by you or us), we anonymise authorship of forum topics and posts by removing the link to your account (your former posts may remain for community continuity, safety and legal reasons, but display as [deleted user] or similar). Some data (e.g., logs, anti-fraud records, legal holds) may be retained for limited periods where necessary, then deleted or anonymised.

We retain personal data only as long as necessary for: service delivery, security/fraud prevention, legal/accounting obligations, and dispute handling. Typical retention: account/payment records up to 6 years; security logs and moderation records for shorter, necessity-based periods; backups per our rotation schedule. When retention is no longer required, we delete data.

Where accounts are closed for policy violations, we may retain limited data (e.g., logs, relevant messages, moderation notes) for a short period to investigate, respond to lawful requests, and protect our users and service; after that period, we delete or anonymise it.

We discourage users from posting personal contact details or other sensitive information in public areas of the site. While we may employ measures designed to reduce the publication of certain information, we cannot guarantee that such measures will detect or prevent all disclosures. Users remain responsible for the content they choose to publish.

Our platform provides both a standard messaging system and an instant messaging service.

Messages, conversations, and related account activity may be retained for operational, security, moderation, safeguarding, dispute-resolution, fraud-prevention, legal, and regulatory purposes.

The operation of message deletion may vary depending on the feature being used. Deleting, hiding, clearing, closing, or removing a message or conversation from view does not necessarily result in the immediate deletion of the underlying data from our systems.

Where reasonably necessary, authorised administrators may retain access to message records, moderation evidence, account activity, technical logs, and related information for the purposes of investigating complaints, enforcing our Terms and Conditions, responding to lawful requests, protecting users, preventing abuse, and maintaining the integrity and safety of the platform.

Message and chat data is retained only for as long as reasonably necessary for these purposes and may be periodically deleted, anonymised, archived, or otherwise removed in accordance with our data-retention practices. Once data has been deleted or anonymised, it may no longer be possible to recover or provide copies of that information.

8a. Retention of Data for Policy Violations
In circumstances where your account is closed or deleted due to breaches of our Acceptable Use Policy or other site terms, we may retain certain information from your account (such as messages, profile data, and activity logs) for a limited period. This retention is necessary to investigate violations, protect the integrity of our platform, comply with law enforcement requests, or defend our legal interests. After this period, all such retained data will be securely deleted or anonymized.

If your account is closed or deleted for reasons other than a policy violation, your profile and message data will be deleted according to our normal retention schedule. In cases where all your data has been deleted, we can no longer provide you with copies of your messages or other content, as those records will no longer exist in our system.

For the purposes of investigating and documenting policy violations, we may also retain copies of content involved in the violation, including screenshots or captured evidence of uploaded material, together with associated account and technical data (such as timestamps and IP information).

9. Changes to This Privacy Policy

We regularly review our privacy policy and may update it from time to time. Any changes will be posted on this page, and where appropriate, we will notify you via email.

11. Cookie Policy
Our website uses cookies to distinguish you from other users. This helps us provide you with a good browsing experience and allows us to improve our services.

Cookies are small files placed on your device that collect standard Internet log information and visitor behavior information. You can manage your cookie preferences through your browser settings.

Managing Cookies:
You can set your browser to refuse all or some browser cookies or to alert you when websites set or access cookies. However, if you disable or refuse cookies, please note that some parts of this website may become inaccessible or may not function properly.

12. Privacy Features
To help protect member privacy and reduce casual public exposure, ClubCrossDressing applies visual blurring to profile pages viewed by visitors and users who are not signed in.

Visual blurring is intended to reduce casual public viewing of profile content. It is a privacy feature only and does not determine who can access your profile or content. Your actual profile visibility is determined by the privacy settings you select.

By default, all new member accounts are configured with the Everyone privacy setting. Unless you choose a more restrictive setting, information you publish — including profile photographs, profile details, comments and other content — may be accessible to visitors, search engines, AI systems, automated services and other third parties.

Visual blurring helps reduce casual public viewing of profiles by visitors who are not logged in. If your profile is set to “Everyone”, publicly available content may still be accessed or processed by search engines, automated services and other third parties in accordance with your chosen privacy setting.

Setting Privacy Level Visible to
Everyone (Default) Basic Visitors, search engines, AI systems and automated services.
Registered Users Enhanced Only logged-in members.
Friends High Only members you have approved as friends.
No One Maximum Only visible to you.

As with any public website, content made publicly available may continue to appear in search results, caches, archives or other third-party systems for some time after your privacy settings are changed or content is removed from public view. Changes to your privacy settings may not be reflected immediately by third-party services, including search engines, which operate independently of ClubCrossDressing.

Some public content, such as comments, may remain visible depending on where it is published. For this reason, members should never post personal contact details in public areas of the site.

If you do not wish your content to be publicly accessible, you should review and adjust your privacy settings accordingly.

While ClubCrossDressing provides privacy tools and visual protections to help members manage their visibility, no online service can guarantee complete privacy or prevent all forms of copying, indexing, archiving or redistribution. We strongly recommend that you do not publish personally identifiable, sensitive or confidential information in any area that may be publicly accessible.

You are responsible for the information and content you choose to publish through your account. ClubCrossDressing is not responsible for content published by members or for the privacy settings they choose to apply to their own content.

13. Indemnification
While we strive to implement appropriate technical and organisational measures to protect your personal data, please be aware that no method of transmission over the Internet or electronic storage is completely secure. Consequently, we cannot guarantee absolute security. To the extent permitted by applicable law, CowGoMoo Web Solutions Ltd shall not be liable for unauthorised access to or use of your personal data resulting from circumstances beyond our reasonable control.
